Retail Counter Handbook

Ringing up a sale, weighing out loose stock, running a customer's khata and closing the drawer. Written for the person standing at the counter.

01Signing in

The app decides which workspace to open from your account — you do not pick it.

  1. Enter the email and password issued to you and sign in.
  2. The app opens the retail workspace on the POS tab, ready to sell. If your account is set up for a restaurant instead, you will get the restaurant workspace — that is an account setting changed in the ERP by your owner.
  3. The bar along the bottom holds the four places you work.

Swiping in from the left edge on any tab opens the app menu, which holds Logout.

02The POS screen

The cart is always visible, and it fills in as you tap. There is no separate basket to open first.

On a counter screen or tablet the cart sits down the left-hand side and the products fill the rest. On a phone there is not room for both, so the cart hides behind the basket button at the top left — the badge on it is the number of lines waiting.

Finding a product

  • Type into the search box — it matches on product name and SKU, so a barcode-style code finds it as fast as the name.
  • Or tap All to open the category strip and pick a category.
  • The counter at the top right tells you how many products the current search and category are showing.

Reading a product card

Each card carries what you need to answer a customer without opening anything: the name, the pack unit and SKU, how much is on the shelf, the price per pack, and — for anything sold loose — the rate per kilo, litre or tablet underneath it in purple.

A card outlined in red is out of stock. A card outlined in green already has something in the cart, and the strip along its bottom tells you what.

03Packs & loose stock

The one idea worth understanding properly. Everything else on the POS follows from it.

Stock is held in packs — a bag, a box, a strip, a case. Each pack holds a known number of smaller units: a bag holds 50 kg, a strip holds 10 tablets, a case holds 12 bottles. Products the shop sells loose can be sold either way, and the app converts for you.

Selling a whole pack

Tap the card once. One pack goes into the cart. Tap again for a second.

Selling loose, or several packs at once

  1. Press and hold the card. The quantity sheet opens.
  2. Under SELL AS, choose the pack unit or the loose unit.
  3. Selling loose, ENTER IN lets you switch between the large and small unit — kilos or grams — so 250 g is typed as 250, not as 0.25.
  4. Type the quantity, or tap one of the suggested amounts.
  5. Check IN STOCK and AFTER THIS, then press ADD TO CART.
Worked example — rice

Note the loose sale bills at ₹45/kg — the shop's own rate — not at the pack price divided by 50. If those two differ, the shop's rate is the one that counts.

Selling more than you have

If the quantity would take stock below zero the button turns amber and reads EXCEEDS STOCK — TAP TO CONFIRM. Tapping again lets the sale through anyway.

That is deliberate — the shelf is sometimes right and the system wrong, and a customer holding the goods should not be turned away. But it means the stock figure is now known to be off. Tell whoever manages stock.

04Working the cart

Every line in the cart carries its own controls:

  • and + step the quantity. Packs move one at a time; loose lines move by a sensible step, so a 500 g line does not jump straight to zero.
  • The middle of the stepper shows the quantity in the product's own words — "2 Bags", "500 Gm", "5 Tablets".
  • The box with the ₹ is the rate, and you can type in it. See section 05.
  • The figure on the right is the line total, which updates as you change either.
  • × removes the line outright.
  • The broom in the cart header empties the whole cart.

The subtotal sits at the foot of the panel, above CHECKOUT.

05Changing a price

For the everyday counter negotiation — "give it for 110".

  1. Tap the rate box on the line and type the new rate.
  2. The line total and the cart subtotal follow immediately.

The rate you type is the rate per pack for a pack line, and per kilo or per tablet for a loose line — the label under the box tells you which. It can also be changed from the checkout sheet, so a last-second haggle does not mean backing out of the sale.

Two things to know
  • An edited rate sticks for that line. Tapping the same product again adds to the same line at your rate, not the catalogue rate.
  • Removing the line and adding the product again starts from the catalogue rate. If you meant to keep the discount, do not delete the line.

A price edit is recorded on the sale as the price charged. If your shop would rather see money off recorded as a discount than as a changed rate, use the discount boxes at checkout instead.

06Holding a sale

When a customer goes back for something they have forgotten, press the amber pause button beside CHECKOUT. The cart is parked and the counter is clear for the next person.

Held carts appear as amber tiles above the products, each showing its total and how many lines it holds. Tap one to bring it back. If you already have a cart on screen, the two swap places rather than mixing.

Five at a time

Up to five carts can be held at once. At the limit the app says so — bring one back and finish it before parking another.

07Checkout

  1. Press CHECKOUT to open the sheet, and check the lines.
  2. Choose the customer. Tap the customer box and search by name or mobile number; each row shows what they owe. Leave it on Walk-in for a cash counter sale.
    • New customer? Press NEW in the picker and enter a name and mobile.
  3. Apply any discount — per line in the Disc (₹) box, or across the whole bill in GLOBAL DISCOUNT.
  4. Choose how they paid: CASH, UPI, CARD or CREDIT.
  5. Press CONFIRM SALE. The receipt appears, ready to print or share.
Credit is not a payment

CREDIT means the customer has taken the goods and not paid. The amount is added to what they owe, so it only makes sense with a real customer selected — never on a walk-in. Take the money later through Direct-Pay.

Press CONFIRM SALE once. A second tap while it is working is ignored on purpose, so a slow connection cannot bill the customer twice.

08The receipt

What the customer's copy tells them, and how to get another one.

The receipt appears as soon as the sale is confirmed. PRINT sends it to the printer; CLOSE puts it away and returns you to an empty counter, ready for the next customer.

There is no printer setup to do in the retail app — it hands the receipt to whatever printer the computer or tablet already uses, so the machine's own printer settings are the ones that matter.

Each line is spelled out in the product's own words — "2 Bags", "500 Gm", "5 Tablets" — with the rate per that same unit, so a customer can check the arithmetic without asking you to.

Long bills print in full

A bill with fifty items prints all fifty and the totals underneath. If a printed bill ever stops partway, that is a printer or paper problem, not the app dropping items.

Getting another copy

From the Home tab, find the sale and use REPRINT for paper or SHARE to send it as a PDF to the customer's phone. Neither creates a second sale — the stock and the takings are untouched.

If printing fails on a Mac

The app will say so rather than failing quietly. It is a permissions matter on the computer, not something you can fix from the counter — the sale is already saved, so use SHARE to get the customer their copy and tell whoever looks after the machine.

09Customer accounts

Regulars who settle later. The app's balance is the answer — not the diary under the counter.

Every customer on the system carries a running balance. You will see it in three places: beside their name in the customer picker, on the customer field once they are chosen, and on the receipt as Prev Balance and TOTAL DUE.

Putting a sale on the account

  1. At checkout, pick the customer — search by name or mobile.
  2. Choose CREDIT as the payment mode.
  3. Confirm. The goods leave, and the amount is added to what they owe.

Taking payment against the account

Use the Direct-Pay tab — see section 11. It is a separate action from a sale, which is why a customer clearing an old balance does not need to buy anything.

Credit needs a real customer

CREDIT on a walk-in records goods leaving with nobody attached to the debt. Pick the customer first, every time — if you notice afterwards, delete the sale from Home and ring it up again properly.

Adding a customer

Press NEW in the customer picker and enter a name and mobile number. Put the mobile in even when they do not ask — it is the fastest way to find them next time, and it is how the app stops the same person being created twice.

10Selling offline

The counter keeps working when the internet does not.

Ring the sale up exactly as normal. If there is no connection, the app tells you the sale has been saved offline and prints the receipt as usual. Stock comes down on the device, so the next customer sees the right figure.

An amber N to sync badge appears at the top of the POS with the number of sales still waiting. When the connection returns they upload on their own and the badge disappears.

  • You do not need to press anything for them to go up.
  • Tapping the badge retries immediately, if you want to watch it clear.
  • Closing the app does not lose them. They are on the device until they are sent.
Never ring the same sale up twice

If a sale seems not to have gone through, check the badge before re-entering it. Every queued sale carries an identity the server recognises, so a sale that did reach the server will not be recorded again — but a sale you type in a second time is a genuinely new sale, and will be billed and stocked as one.

11Direct-Pay

Money against a customer's account, in either direction.

  1. Choose the direction:
    • RECEIVE PAYMENT — the customer is paying off what they owe.
    • ADD DUE CHARGE — you are adding to what they owe.
  2. Pick the customer. The picker searches by name or mobile, and their balance is shown as soon as they are chosen.
  3. Enter the amount — or, when they are clearing the lot, tap Settle full due to fill it in exactly.
  4. For a payment, choose CASH, UPI or CARD.
  5. Add a remark, then confirm.

Like sales, a payment taken with no connection is queued and syncs itself.

12Cash Out

At close, or whenever cash is taken out of the drawer for banking or for the owner, record it here. CASH IN DRAWER at the top is what the app believes should be there.

  1. Enter the amount being taken out.
  2. Add a remark saying where it went — "banked", "handed to owner".
  3. Press CONFIRM TRANSFER.
If it warns the amount exceeds available cash

The app lets it through but tells you first. It usually means a sale was taken as cash that was not, or a cash movement was never recorded. Worth settling at the time rather than at month end.

13Home & history

The Home tab summarises the day — total sales, what was collected, and the list of sales as they happen.

  • REPRINT — print a customer's copy again. It does not create a second sale.
  • SHARE — send the receipt as a PDF, for a customer who wants it on their phone.
  • DELETE — reverse a sale entered in error. It puts the stock back.

Sales still waiting to upload appear in the list marked PENDING SYNC, so the day's takings read correctly even before everything has reached the server.

14Closing the day

Five minutes at close saves an argument at month end.

  1. Clear the sync badge. If the amber N to sync pill is still showing, the day's figures have not all reached the office. Get the connection back and let it empty — tap it to retry. Do not close up with sales still queued if you can help it; they are safe on the device, but nobody in the office can see them yet.
  2. Finish or park every held cart. An amber tile left over is a sale that never happened. Bring each one back and either complete it or clear it.
  3. Check the day's takings. Open Home and read the total against what you expect.
  4. Count the drawer and compare it with CASH IN DRAWER on the Cash Out tab.
  5. Record the cash you take out with a remark saying where it went.
If the drawer does not match

Do not adjust the figure to make it agree. The usual causes are a sale taken as cash that was actually UPI, a cash payment never recorded, or money taken out without a Cash Out entry. Note the difference and the likely reason while you still remember the day — a gap explained tonight takes a minute; the same gap next month takes an hour.

Three habits that prevent most problems
  • Glance at AFTER THIS before adding a loose quantity — it catches a mistyped weight before the customer is charged for it.
  • Check the sync badge is clear before you leave.
  • Pick the customer before choosing CREDIT, never after.
